1. RESERVATION
All bookings must be made in writing through our official contact details. We will respond to your request within 24 hours. If we are unable to process your request, we will provide an explanation. Should hotels, flights, or specialized services be unavailable, our Travel Experts will offer suitable alternatives. Upon booking confirmation, you will receive an invoice and itinerary via email. A deposit is required to secure your booking, with the balance payable as per our deposit and payment policies outlined below.
2. DEPOSIT & PAYMENT
– A 70% deposit of the total tour cost is required to confirm your booking. If local suppliers require a higher deposit, additional payment will be necessary.
– Full payment is due 45 days prior to departure. Payments can be made via MPESA, bank transfer, or credit card (Visa, Mastercard, or American Express). Please note:
– A 3% transaction fee applies to Visa and Mastercard payments.
– A 4% transaction fee applies to American Express payments.
– Bank transfer fees are the responsibility of the client and must not be deducted from the total payment.
– Upon receipt of full payment, we will issue hotel vouchers and a confirmed itinerary via email.
3. BOOKING AMENDMENTS
We pride ourselves on flexibility. To modify your booking, contact us at info@tembeadiscoveries.co.ke with your reservation number. Our team will assist with adjustments and inform you of any additional costs. Once changes are confirmed, you will receive an updated itinerary and invoice. If using a travel voucher, the voucher’s terms and conditions will apply within its validity period.
4. CANCELLATION POLICY
The following cancellation fees apply unless otherwise stated during quotation or booking. For tours scheduled after June 1, 2024:
– Deposits: Non-refundable but transferable to a substitute booking within one year of the original departure date, provided cancellation is made at least 45 days prior to departure.
– Cancellation Fees:
– 44 to 30 days before arrival: 50% cancellation fee per group/booking, plus any fees imposed by hotels, airlines, or other service providers.
– 29 to 15 days before arrival: 70% cancellation fee per group/booking, plus any fees imposed by service providers.
– Less than 14 days before arrival or no-show: 100% cancellation fee per group/booking.
Notes:
– Refunds will be processed using the original payment method. All banking fees or deductions will be borne by the client.
– Administrative and banking fees are non-refundable in all cancellation cases.
5. REFUND OF UNUSED SERVICES
No refunds will be issued for unused services once the trip has commenced.
6. LIABILITY
Tembea Discoveries Tours and Travel shall not be liable for any loss, injury, or damage to passengers. Passengers are responsible for additional expenses arising from delays, accidents, natural disasters, pandemics, political unrest, or other unforeseen circumstances. Comprehensive travel insurance is mandatory for all passengers.
In the event of changes to flights, accommodations, or itineraries due to local conditions, we will endeavor to provide suitable alternatives of comparable value. Participation in any tour implies full acceptance of these terms and conditions.
7. PASSPORT AND ENTRY VISA
Your passport must be valid for at least six months beyond your entry date. It is your responsibility to ensure you possess a valid passport, visa, and all necessary travel documents.
8. TRAVEL INSURANCE
Travel insurance is not included in tour prices. Passengers must ensure their local health insurance covers international travel. We strongly recommend purchasing comprehensive travel insurance to cover:
– Tour cancellations or interruptions.
– Lost baggage or personal items.
– Personal injury, illness, or death.
– COVID-19-related issues.
If you decline travel insurance, you will be required to sign a waiver. For assistance, contact our Reservation Center at +254 707 500 065 during business hours.
